Customers and Affiliates have the ability to book reservations online. It is never safe to assume with this type of booking. If you are not able to find out the information you need, reach out to the Passenger or Booker.
1. The "Internet Bookings" icon will show when we have a new booking.
Double click on the icon to open up the list.
2. Once the screen has popped up, You will need to determine if it is New, Changed, or Canceled.
Highlight the reservation you would like to edit.
To open the reservation, you can double-click on it or click on Edit Reservation.
New reservations
Once the reservation is open, you must review every part of the reservations.
Circle 1-3 Review the Address in circles 1, 2 and 3, Use Show Map to determine if the address is valid and is considered "In Area" or not.
If it is an Arrival or Departure, verify the flight info by clicking on the Airplane Icon.
Sometimes a customer will place notes in the box above the address or flight info, make sure to review notes by utilizing the
up and down arrow.
For Departures, always check the pickup time vs. departure time of the flight. The time the pax should arrive before departure flight depends on several different variables.

Make sure that the Date in Circle 1, 2, or 3 all match up. Sometimes when the reservation comes over the departure or arrival date will not match.
Circle 2 Click on Add Passenger/Stop
Check all information in the bottom part of the window. Ensure that times, addresses, and/or passenger information is correct.
Circle 3 If a reservation both starts and ends at any Airport, The reservation type should be set to an Arrival at the top
For the Departure information, click on the Airplane Icon. The pop-up screen will need to be filled out with all information. You will have to verify the flight time through a website like
https://www.flightview.com/traveltools/
Circle 4. Make sure to review all the notes in the Trip Notes Box.
Circle 5 By clicking the box next to the cell phone number, you are setting the customer up to receive text messages from us about the trip.
They will receive a text when we are on location or en route or 24-hour booking reminder. Never Check it for affiliates.
Circle 6. Make sure that we have a telephone number for the passenger and the Booker
Circle 7. Please select the options in Booking Source, Booking Category, and Trip Type that applies to the reservation.
Circle 8. If there is a Ref PO, change/confirm Collection Details are set to Billing & Account.
If it is from an Affiliate, review the billing instructions for that particular Affiliate and adjust accordingly.
If the above does not apply to the reservation, We must have a credit card on file. Change/Confirm the Collection Details are set to Collect Credit Card.
Circle 9. When checking the pricing, ensure that the Fixed Zone pricing is selected or that the number of hours is showing correctly, the number of EST. hours and travel time are correct,
and all parking and AM/PM fees are added.
On this particular reservation, you will see that Fixed Zone Pricing is selected for an hourly job. This is not correct. Never use Fixed Zone Pricing for an hourly job.
Out of State Booking
Circle 1. Make sure that the Date in Circle 1, 2, or 3 all match up. Sometimes when the reservation comes over the departure or arrival date will not match the date in circle 1.
Circle 2 and 3. Review the Address in both circles 2 and 3, Use Show Map to determine if the address is valid and is considered "In Area" or not.
If it is an Arrival or Departure, verify the flight info by clicking on the Airplane Icon.

up and down arrow.

This particular reservation is for a client who is traveling in Arkansaw. Please review Out of State Booking topic for instructions.

Circle 5. Make sure that we have a number for the passenger and an email if one is not listed on the account.
Circle 6. Please select the options in Booking Source, Booking Category, and Trip Type that applies to the reservation.
Circle 7. If there is a Ref PO or this is a booking from an Affiliate (i.e. Flyte Tyme or Commonwealth), change/confirm Collection Details are set to Billing & Account.
If the above does not apply to the reservation, We must have a credit card on file. Change/Confirm the Collection Details are set to Collect Credit Card.
Circle 8. When checking the pricing, ensure that the Fixed Zone pricing is selected or that the number of hours is showing correctly, the number of EST. hours and travel time are correct,
and all parking and AM/PM fees are added.
After you have double checked the reservations, hit the OK button to close out of the reservation.
You will need to click on the Email Confirmation Icon at the bottom of the pop-up.
Finally, You will need to click on the Mark as Reviewed Icon.
Updates
Click on the View Change Log to determine what changes have been made.
Cancellations
Find the reservation in Fasttrak. Change it to the appropriate cancellation status, See cancellations.
More Examples
Circle 1 The pickup falls in the time frame for the AM/PM fee. Place the $15 charge in field (circle 7)
Circle 2 The address is for a business, Check the address with Google Maps or Click the Green Plus Icon
Click on the Reservations Venue Tab and search by address. Double click on the correct address.
Circle 3 The date and time of the flight did not come through. Updated the address and hit the Airplane Icon to confirm the flight.
Circle 4 This is for a retail customer, check the box next to the cell phone number. Greet Sign Alias field has the passengers last name. This is for the Greet Sign the Driver will have for them
when they get off the plane.
Circle 5 Select the booking source, booking category, & trip type that applies to this reservation. Delete anything that is in Trip Category.
Circle 6 This is in an SUV, go to the date of the trip to confirm that we do have an SUV available.
Circle 7 Add the AM/PM fee of $15.00
